Who are we?

We are a startup in Brussels called Neuroventis , focused on re-thinking healthcare and providing technology that empowers patients with chronic disorders. We believe that our healthcare system is not focused (enough) on patients with chronic diseases and believe that technology can provide significant relief for both patients and physicians. We’ve developed two applications, one called Helpilepsy, which supports patients with epilepsy and neurologists better understand their situation and have more control in their lives. The other app is MigraineManager, supporting patients with headache.

Your responsibilities

As our Office Manager, you will be taking ownership of all administrative/office, HR/talent and financial tasks. We are looking for someone that is detail oriented, extremely organized, and ready to become the backbone of our back-office operations.

Some of the tasks you’ll be responsible for:

Talent officer (30%)

Handling the recruitment process (preparing job posts, owning the process…)
Handling of HR admin tasks (payroll, fleet, holiday…)
Providing assistance in the company talent/HR strategy
Assisting in the development and follow-up of HR policies & procedures

Financial officer (30%)

Processing incoming invoices
Managing & preparing the schedule of outgoing invoices
Managing the company budget & accounting with the leadership team

Team/Office management (20%)

General office management, making sure everybody feels good at the office
Ensuring the continuous development of a strong positive culture within the team through event management for birthday celebrations, unit milestones, quarterly and end of year activities
Handling the knowledge management within the team

Assisting teams (20%)

Assisting the Growth team in handling material, travel, etc.
Assisting the Quality team in some processes
Assisting the Product team in some tasks during peak work weeks

Your profile

We are looking for a hands-on profile that wants to be the driving structural force of our Administration and wants to be part of contribution to a cause. We’re looking for a self-driven and motivated person, who can manage his/her time and projects independently.

Ideally, you are someone that:

Has a degree in HR, administration, or an equivalence in experience
Has ideally a first experience in payroll administrative roles
Has knowledge of payroll and social legislation
Speaks and writes English fluently, plus French or Dutch
Has excellent organizational, coordination and management skills
Is flexible and has the ability to work efficiently in a fast paced and ambitious environment
